Essential Functions:

  • Responsible for customer and vendor regulatory correspondence and files (will include but not be limited to preparing and issuing memo, reports, and filing all documentation)
  • Coordinate outgoing and incoming shipments
  • Calendar management, meeting scheduling
  • Manage and organize purchases of the administration building within budgetary constraints seeking cost savings were ever possible
  • Weekly approval and review of payroll
  • Coordinates daily/weekly reports (this includes but is not limited to gathering, inputting and distributing weekly reports); entering departmental purchase requisitions, entering Melt Shop sheets and monitoring various office supplies
  • Understanding of front-end ERP systems (i.e. SAP, Syteline, etc.)
  • May coordinator projects and data analysis specifically related to AlloyWorks manufacturing
  • May prepare presentations, reports, spreadsheets and graphs; transcribes information of a technical, confidential and/or sensitive nature; enters 5S score sheets
  • Will assist or complete travel needs, independently coordinate travel arrangements and prepare/submit expense reports - not sure if I need this
  • Research, compile, summarize, and analyze information to formulate correspondence and respond to various inquiries from internal and external customers. Utilize company personnel at all organizational levels to gather information to prepare reports
  • Will screen mail and callers, respond to and route inquiries to appropriate personnel as necessary; determine importance and priority of various issues and determine what major issues should be brought to the attention of the Plant  and/or staff members
  • Handle highly confidential, sensitive and/or critical information, files, records and reports
  • Actively promote and ensure clear communication within the site and facilitate inter- staff communication
  • Coordinate and support TIMET executive and customer site visits, tours, and lunches.  Also support event planning
  • Develop, maintain, and update corporate databases as required
  • Maintain Non-Disclosure Agreements (NDA) and associated intellectual property documentation for Plant
  • Coordination of TIMET MOR PPE and Safety Event Program(s)
  • Provide administrative support to HSE Group and Senior Staff Members as needed; entering safety and training data, calling in Workers Compensation claim filing

 Education and Experience:

  • Associate degree in business or similar discipline, or the equivalent knowledge and experience required; 3-5 years of related specialized administrative experience.
  • Ability to interface effectively within all levels of the organization.
  • Thorough knowledge of corporate operations and product line.
  • Demonstrated judgment, tact and diplomacy in dealing with internal and external customers.
  • Ability to handle highly confidential and proprietary information.
  • Initiative and organization skills.
  • Self- motivated, enthusiastic, with a positive attitude
  • Ability to perform as a team player
  • Experience working with senior level management
  • Exceptional computer skills and Microsoft Office software application proficiency; with emphasis on Word, Excel, Access and PowerPoint.
  • Project Management experience; planning, organizing, securing, and managing resources to achieve specific goals.
  • Detailed oriented with the ability to handle multiple tasks simultaneously and prioritize assignments.
